When you start planning a wedding or event, it’s common to hear terms like planner, co-ordinator, stylist or venue setup — and not always be sure what each one actually does. These roles are all important, but they each serve a different purpose. Understanding the difference helps you choose the support that matches your needs, your style and your budget.

This blog breaks down the key roles and the benefits of each — so you know exactly what you’re hiring and how it makes your event journey smoother and more enjoyable.

WEDDING & EVENT PLANNER — Your Guide from Start to Finish

A wedding or event planner works with you long before the big day — from the first conversations right through to the final moment of your celebration. Their focus is on the logistics, organisation and big-picture execution of your event.

What a Planner Does

  • Helps turn your ideas into an achievable plan

  • Sources and books venues and suppliers

  • Manages contracts and payments

  • Creates a detailed timeline and checklist

  • Keeps your budget on track

  • Liaises with vendors and venue staff

  • Problem-solves issues before and during the event

Benefits of Hiring a Planner

✔ You avoid overwhelm and stay on track from day one

✔ Expertise that saves time and stress

✔ Professional vendor recommendations tailored to your style

✔ Confidence that every detail is being looked after

A planner ensures the entire coordination of your event is intentional, organised and stress-free — not just on the day, but throughout the entire process.

WEDDING & EVENT CO-ORDINATOR — Your Day-Of Professional

A co-ordinator steps in later than a planner — typically closer to the event (often a few months before) — and takes over the final communication, manages all the details you’ve already booked and planned, and runs the day’s logistics.

What a Coordinator Does

  • Works with your suppliers and venue in the lead-up

  • Creates the event day timeline, from start to finish

  • Oversees setup according to plan

  • Manages the flow of the day

  • Solves last-minute issues or changes

  • Ensures your celebration runs according to schedule

  • Undertakes a heap of tasks on the day to support and take care of you

Benefits of Hiring a Coordinator

✔ Peace of mind on the day so you can be present

✔ Smooth execution of everything already planned

✔ Someone dedicated to logistics and timing

✔ Problem-solving without you needing to step in

A coordinator doesn’t help with long-term planning or design or full venue setup, but they ensure what you’ve planned actually happens — seamlessly. Some co-ordinators may place some items on the day, but their main purpose is overseeing and co-ordinating your entire day, and being there to ensure it all unfolds smoothly.

WEDDING & EVENT STYLIST — The Creative Vision

A stylist is your creative partner — the person responsible for the look and feel of your celebration. They focus on visual design, mood, colour and cohesion across your décor and styling elements.

What a Stylist Does

  • Works with you to develop a visual concept and style

  • Produces mood boards and colour palettes

  • Curates décor, furniture, lighting and floral looks

  • Sources and styles items to bring the vision to life

  • Oversees styling setup on the day

Benefits of Hiring a Stylist

✔ A beautifully curated and cohesive aesthetic

✔ Design expertise that elevates your event styling

✔ Less guesswork with colours, textures and décor choices

✔ Confidence that your event looks intentional and on-brand

A stylist doesn’t typically manage logistics or vendor bookings, but they make your event look beautifully pulled together.

VENUE SETUP SERVICE — On-Site Excellence

Your venue setup service is the team that physically installs and places all the décor elements on the day — from furniture and signage to floral arrangements, tableware and more.

What Setup Does

  • Implements the styling plan onsite

  • Places all hire furniture and décor

  • Creates décor installations

  • Ensures lighting, florals and table-scapes are positioned as designed

  • Works closely with co-ordinators and planners for smooth execution

Benefits of a Setup Service

✔ Flawless execution of your styling vision

✔ Professional handling of décor installation and teardown

✔ Saves hours of work on event day

✔ Ensures a polished guest experience from start to finish

This is the physical side of styling — the part that turns concept into reality. Together with styling and coordination, it completes the experience. Often hire companies offer a setup service, although sometimes this is only for their own items, so check this first - as there are professionals you can hire to setup and pack-down all your items.

FLORISTS — What’s Typically Included

A florist’s role is focused on designing and creating the floral elements for your wedding or event — such as arch arrangements, table arrangements, installations, statement pieces to all your bridal party arrangements such as bouquets, buttonholes, flower-crowns, corsages etc.

In most cases, their on-site involvement is limited to the delivery, placement, and installation of the florals they have created. This usually does not include styling or setting up non-floral décor, furniture, stationery, signage, tableware, or broader venue styling. While florists play a vital role in shaping the look of your event, their setup typically applies only to their own floral work, rather than the full styling or coordination of the space.
